Diary and calendar management

A diary that anyone can fill is not a diary, it is a queue. Proper diary management means meetings are booked around how you actually work, confirmed so they happen, and spaced so the day is survivable.

Booking and rescheduling

Back-and-forth handled entirely off your desk, including the awkward reschedules and the people who never reply.

Protected time

Focus blocks, travel time and buffers held as genuinely protected, not quietly overwritten by the next request.

Confirmations and reminders

Attendees confirmed the day before, agendas circulated, and no-shows chased and rebooked.

Why diary management saves more than it costs

The cost of a badly managed diary is rarely the booking admin itself. It is the meeting that should have been thirty minutes, the two hours of dead time between appointments on opposite sides of London, and the deep work that never happens because nothing was protected.

Managed properly, a diary is designed against your working preferences: meeting days grouped, travel accounted for, and a standing block reserved for the work only you can do.

How it works alongside your team

Access is delegated at calendar level, so an assistant can see availability and issue invitations without touching anything else. Rules are agreed in writing — who can book, how far ahead, what always needs your approval.

For directors with a heavier load, diary management usually sits alongside inbox management as part of executive virtual assistant support.

Questions

Common questions

Do you use booking software?
If you already use Calendly, Microsoft Bookings or similar, we work inside it. If not, one can be set up and maintained for you.
Can you deal with people trying to get into my diary?
Yes — that is much of the value. Requests are triaged against agreed rules, and only the ones that qualify reach you.
How much diary support do most clients need?
Typically two to six hours a month, often bundled with inbox management on an 8 or 16 hour retainer.
