Invoicing and credit control

Late invoicing and inconsistent chasing are the two most expensive admin habits in a small business. Both are entirely fixable, and neither needs the owner to do them.

Invoices out on time

Raised on completion or on a fixed run date, with the right references, terms and purchase order numbers attached.

Scheduled chasing

Statements and reminders on an agreed timetable, in your tone — routine and impersonal rather than confrontational.

Clean records

Receipts collated, expenses categorised and the ledger kept tidy so your accountant is not billing you to sort it out.

The cash-flow arithmetic

For a business invoicing £20,000 a month, moving average collection from 45 days to 30 releases roughly £10,000 of working capital — permanently. That is not a growth project or a funding round; it is a chasing schedule that someone actually runs.

The reason it usually does not happen is that chasing is uncomfortable when you are also the person delivering the work. Delegating it removes the awkwardness in both directions.

Working inside your accounting system

Work is done in Xero, QuickBooks, Sage or FreeAgent under a delegated user account with the permissions the task requires — typically raising and sending invoices and issuing statements, without payment authority.

You keep the bank, the approvals and the final say. Bookkeeping certification is separate: this is invoicing and credit control administration, not accountancy advice.

Questions

Common questions

Do you have access to our bank account?
No. Access is limited to your accounting software at the permission level needed to raise and chase invoices. Payments and approvals stay with you.
Are you an accountant or bookkeeper?
No. This is administrative support around invoicing and credit control. Accounts preparation, tax advice and filings stay with your accountant.
How aggressive is the chasing?
Polite and scheduled. Wording is agreed with you in advance, and escalation only happens where you approve it.
