Email and inbox management

An unmanaged inbox is not a tidiness problem, it is a revenue problem: enquiries answered three days late, invoices buried under newsletters, and an hour of every morning spent deciding what to read. Inbox management moves that job to someone else.

Daily triage

The inbox is sorted before you open it — urgent, awaiting you, handled, filed — so you only see what genuinely needs a decision.

Holding replies

Every enquiry gets acknowledged the same working day in your tone, so nobody is left wondering whether you received it.

Structure that lasts

Folders, rules and labels set up once and maintained weekly, rather than a one-off clear-out that fills up again.

What inbox management actually involves

Each working day the inbox is reviewed and processed: newsletters and noise filed or unsubscribed, routine questions answered from an agreed set of responses, invoices and receipts forwarded to the right place, and anything needing your judgement flagged with the context you need to act in one pass.

The measurable outcome is response time. Most clients go from replying within two or three days to acknowledging everything within business hours, which changes conversion on enquiries more reliably than any marketing spend.

Access without handing over your password

Microsoft 365 and Google Workspace both support delegated mailbox access, so an assistant can manage your inbox under their own named account. Nothing is shared, activity is attributable, and access is revoked instantly whenever you choose.

The guide to sharing access safely sets out the exact configuration used, and Wise Resolutions is fully insured, ICO registered and UK GDPR compliant.

Questions

Common questions

Will clients know someone else is answering?
Only if you want them to. Replies can be sent in your voice from your address, or signed by an assistant — whichever suits your business.
How many hours does inbox management take?
For most owner-managed businesses, four to eight hours a month covers daily triage and routine replies. Heavier enquiry volumes need more.
Can you clear a backlog first?
Yes. A one-off inbox detox is usually the first job, billed at £35 an hour with a two-hour minimum.
